How to join a workspace

Join your company’s workspace using an invite link or a phone number invite.

On Android and iPhone

  1. Invite link: Tap the link your admin shared. If you don’t have SPOC yet, download it first. Sign up, then tap Join.
  2. Phone number invite: Sign up with the phone number your creator, moderator or colleague added. The workspace appears on your home screen. Tap Accept.

If an invite link doesn’t work, ask your admin for a new one.

About workspace roles

Every person in a workspace has a role. SPOC has four roles:

  • Creator: Usually the business owner or a manager of the workspace. The Creator is responsible for all the workspace settings.
  • Moderator: Usually a manager or a team lead. A Moderator has almost all the access a Creator has, with a few exceptions.
  • Employee: Usually a team member. Employees can only add guests to the workspace.
  • Guest: Usually a vendor, supplier or contractor you work with. Guests have limited access to the workspace.

What can a Creator do?

The Creator is responsible for the workspace. A Creator can:

  • Add Moderators. The Creator is the only person who can add Moderators to the workspace.
  • Reset the joining link. If the workspace joining link is shared with people who should not have it, the Creator can reset it.
  • Set invite permissions. The Creator decides who a Moderator, Employee or Guest can invite.
  • Access archived members’ data. The Creator can download the data of archived members, meaning people who have left the workspace.
  • Manage AI credits and storage. The Creator can manage and track the workspace’s AI credits and storage.

What can a Moderator do?

A Moderator helps the Creator run the workspace. A Moderator can:

  • Approve requests. Approve requests to add people to the workspace or remove them.
  • Manage users. Manage the people in the workspace.
  • Track activity. Track the workspace’s activity logs.
  • Manage AI credits and storage. Manage the workspace’s AI credits and storage.

How to find a Bundle

Every Bundle is saved in the chat, group or Topic it was sent to, so you never need to ask, “Can you send that again?” You can find Bundles easily in the chat info or group info section.

On Android and iPhone

  1. Open the chat, group or Topic and tap its name to open the chat info or group info section.
  2. Tap Bundles to see every Bundle shared there.
  3. Or search for the Bundle by name.

How to track tasks

Track all your tasks from the My Work section. Open Tasks to see the tasks assigned to you and the tasks you are following, along with their status.

On Android and iPhone

  1. Open the My Work section.
  2. Tap Tasks.
  3. See the tasks assigned to you and the tasks you are following, with the status of each: Open, Acknowledged, Overdue or Done.

About Chat files, My Drive and Shared Drives

SPOC has three types of drives:

  • Chat files: The easiest way to find every file you have received in your chats.
  • My Drive: Your own space for work files.
  • Shared Drives: Spaces shared with your team, so everyone works from the same files instead of searching through chats.

You can move files from Chat files to My Drive or a Shared Drive.

Shared Drive roles and ownership

A Shared Drive has two roles, Creator and Contributor. Both roles can add and remove files and folders.

  • Creator: Owns the Shared Drive.
  • Contributor: Works in the Shared Drive and can add and remove files and folders.

Ownership stays with the Creator. If the Creator leaves, ownership passes to the next available moderator or employee.

How to start a Topic

Start a Topic whenever a piece of work needs its own discussion.

On Android and iPhone

  1. Tap + and choose New Topic.
  2. Name the Topic, for example: Mehta & Sons – October order.
  3. Add one or more groups, select individual people, or do both.
  4. Tap Create.

Quick way: In any chat, tap and hold a message to create a Topic quickly.

Include the client, project or site in the name, so the Topic is easy to find in search.

Chats and Topics: what’s the difference

  • A chat is a conversation with a person or a group. It stays until you delete it.
  • A Topic starts a discussion without creating another group. You can add whole groups at once, or pick only the people you need. Topics are archived automatically after 30 days.
  • Use chats for ongoing conversations. Use Topics for focused discussions that need people from different groups.
